Setup of Representative Office

Appointment Letter (original copie)
Resume should cover birth date &place, nationality, sex, marital status, etc.
The present job should be present position in the applying company
The items of education &career should be stated in time sequence
The ID documents are passports or identity cards
Photographs are one-inch or 2-inch passport photos
Resume of the chief representative, copies of identity documents and photographs
     Certificate of Incorporation and Company By-law
The company is limited and incorporated for at least one year
The whole set from the beginning to the latest is needed
Hong Kong companies shall also submit business registration certificate and annual reportLetter of Creditability issued by company’s bank
The company’s capital and business integrity shall be stated
It should be an original copy and signed by bank’s officerLease Contract, Designated Office Building Certificate and Statement of Location
The office shall be located in the building approved by government and qualified to host foreign representative offices attached with certificate of.
The lease term shall be no less than one year
The lease contract shall be signed by chief representative or general manage, chairman of the parent company
The statement of location is a statement issued by the landlord or the real estate management company
 Application Letter
1.The application letter should be typed on your company paper with heading. For            companies from western countries, both the original letter and Chinese version should be provided. Companies from Japan should provide the original in Japanese or English version and Chinese version. Hong Kong, Macao or Taiwan companies can just submit the Chinese version.
2.One original letter should be prepared to submit to Shanghai Administrative Bureau for Industry and Commerce.
3.In the application letter you should carry a brief instruction of the company and its scope of business, and the purpose of setting up representative office in Shanghai. It should cover the name of your office, business scope, the name of the chief
4.representative, the location and duration (longest term is 3 years but renewable is available before expiration).
5.The application letter should be signed by Chairman of Board or Managing Director of your company with their name and titles typed aside by the company’s stamp.

Appointment Letter

1. The appointment letter should be typed on your company paper with heading. For companies from western countries, both the original letter and Chinese version should be provided. 2.  Two original letters should be prepared. One is submitted to Shanghai Economic Relations &Trade Commission and other to Shanghai Administrative Bureau for Industry &Commerce.
3.  The appointment letter should be signed by Chairman of Board of Directors or Managing Director of your company with their name and titles typed aside by the company’s stamp. If the Chairman, the President or Managing Director of the enterprise is appointed as the chief representative, the appointment letter should be signed by at least two other members of the company board.
4.  The appointment letter must clearly shows the name of the person appointed (same as that in the Passport or ID card), the assigned position and its tenure.

The credibility letter should be its original copy bearing the signature of the head of the bank and should contain such information as registered and paid-up capital as well as the credibility of the company. It will remain valid for half a year.

3.The Chinese citizens who permanently live abroad should provide the true copies of their effective Chinese passports and permanent resident ID of foreign countries
